Terms of Service

These Terms explain the rules for using MinistryCount, including church accounts, user access, member data, SMS/email communication, subscriptions, support and acceptable use.

1. Overview

MinistryCount is a church management system provided by Intek Multimedia Web Agency. The platform helps churches manage membership records, attendance, visitors, shepherding or pastoral follow-up, announcements, reports, users, billing information and communication tools such as SMS and email.

These Terms of Service govern access to and use of MinistryCount by churches, church administrators, staff, volunteers, members, visitors and any other authorised users.

2. Acceptance of terms

By creating an account, logging in, subscribing, using the member portal, accessing a church workspace or otherwise using MinistryCount, you agree to these Terms and to our Privacy Policy.

If you are using MinistryCount on behalf of a church or organisation, you confirm that you have authority to accept these Terms for that church or organisation.

3. Our service

MinistryCount may include features for membership management, assemblies, users and roles, attendance, visitors, birthdays, reports, exports, announcements, SMS/email communications, shepherding, member self-service, branding, subscription management and other church administration tools.

We may improve, modify, replace, add or remove features from time to time. We will try to make changes in a way that supports the proper operation of the service and the needs of churches using the platform.

4. Accounts and access

  • Each church is responsible for deciding who may access its workspace and what role or permissions each user should have.
  • Users must keep their usernames, passwords, PINs and other login details confidential.
  • Users must not share accounts, impersonate another person or access a church workspace without permission.
  • Church administrators are responsible for removing or changing access when a user no longer serves in the relevant role.
  • We may suspend or restrict an account where we reasonably believe there is unauthorised access, abuse, fraud, non-payment or a security risk.

5. Church data and responsibility

Churches retain responsibility for the accuracy, lawfulness and proper use of the records they enter into MinistryCount. This may include member names, phone numbers, email addresses, photos, attendance records, visitor information, birthdays, family details, emergency contacts, ministry details, assembly details, shepherding assignments and communication history.

  • Churches must only upload or process personal information they are permitted to collect and use.
  • Churches must take reasonable steps to ensure information is accurate, relevant and not excessive for church administration purposes.
  • Churches are responsible for informing members, visitors, workers and volunteers about how their information will be used.
  • Churches should not use MinistryCount to store highly sensitive information that is not necessary for church administration.
  • Where a member requests correction or deletion of their details, the church should review and act on the request where appropriate.

6. SMS, email and communications

MinistryCount may allow churches to send SMS, email, announcements and other messages to members, visitors or selected groups. Churches are responsible for the content they send and for ensuring they have permission to contact recipients.

  • Messages must be lawful, respectful, accurate and related to legitimate church, pastoral, administrative or organisational communication.
  • Churches must not send spam, scams, misleading promotions, phishing messages, impersonation messages or unlawful bulk messages.
  • SMS sender IDs must be truthful, approved where required, and must not impersonate banks, mobile networks, government agencies, financial institutions, brands or other organisations.
  • Sender ID requests or message content related to suspicious financial schemes, cheap data bundle offers, fake money/cash claims, unauthorised bundle promotions or similar telco-restricted activities may be rejected, blocked or suspended.
  • Examples of sender names or message themes that may be refused include misleading names such as Money, Cash, Bundles, Data, Loan, Airtime or any similar name that could confuse recipients or violate provider/telco rules.
  • SMS credits are consumed based on message length, recipient count, provider rules and delivery attempts. Unicode characters, long messages and multiple recipients may use more credits.

7. Acceptable use

You agree not to misuse MinistryCount or use it in a way that harms the platform, other users, recipients, churches, providers or the public.

  • Do not upload malware, attempt to hack, bypass permissions or interfere with system security.
  • Do not scrape, copy, export or disclose church data unless authorised by the church.
  • Do not use the service for fraud, scams, harassment, threats, hate content, illegal activity or misleading communication.
  • Do not attempt to overload the system, abuse APIs, reverse engineer the platform or access another tenant’s data.
  • Do not use member or visitor information for unrelated commercial marketing without proper permission.
  • Do not create fake church accounts, false user accounts or deceptive sender IDs.

8. Subscriptions, billing and SMS credits

Access to MinistryCount may be provided under monthly, yearly, trial, custom or other subscription plans. The selected plan may determine limits such as number of members, assemblies, users, reports, exports, custom branding or other features.

  • Subscription fees are payable according to the selected billing cycle and invoice terms.
  • SMS credits are separate from platform subscription fees unless clearly stated otherwise.
  • Churches are responsible for purchasing and maintaining sufficient SMS credits for communication features.
  • Failure to renew a plan or settle overdue invoices may lead to reminders, restricted access, suspension or termination of service.
  • Payments already made are generally non-refundable unless we expressly agree otherwise or the applicable law requires a refund.
  • Prices, plans and feature limits may change, but we will make reasonable efforts to communicate material changes to active customers.

9. Availability and support

We aim to keep MinistryCount reliable and available, but we do not guarantee uninterrupted or error-free operation. Service may be affected by maintenance, hosting issues, internet connectivity, third-party providers, SMS gateways, email providers, domain/DNS issues or events outside our control.

We may provide support through email, WhatsApp, phone, remote assistance or other channels we make available. Support response times may depend on the issue, plan type, workload and urgency.

10. Security duties

We use reasonable technical and organisational measures to protect the platform. Churches and users also have responsibilities to protect their accounts and data.

  • Use strong passwords and keep login details private.
  • Limit admin access to trusted people only.
  • Review user roles and permissions regularly.
  • Log out from shared or public devices.
  • Report suspected unauthorised access or data exposure as soon as possible.

11. Intellectual property

MinistryCount, its platform design, software, interface, workflows, branding, documentation and related materials belong to Intek Multimedia Web Agency or its licensors. Churches retain ownership of the content and data they upload, subject to the rights needed for us to host, process, display, back up and support that data as part of providing the service.

You may not copy, resell, redistribute, reverse engineer, duplicate or create a competing service from MinistryCount without written permission.

12. Suspension and termination

We may suspend, restrict or terminate access to MinistryCount where necessary to protect the platform, comply with legal or provider requirements, prevent abuse, recover overdue payments or respond to a breach of these Terms.

A church may stop using the service by notifying us. Before ending a subscription, the church should export or request any data it needs, subject to plan limits, account status and reasonable technical requirements.

13. Disclaimers and liability

MinistryCount is provided to support church administration. It is not a substitute for professional legal, accounting, tax, data protection or pastoral advice. Churches remain responsible for their own decisions, communications, internal policies and compliance obligations.

To the maximum extent permitted by law, Intek Multimedia Web Agency will not be liable for indirect, incidental, special or consequential losses, including loss of profits, loss of goodwill, loss of data, failed third-party SMS/email delivery, unauthorised use caused by weak user controls, or interruptions outside our reasonable control.

14. Changes to these terms

We may update these Terms from time to time to reflect changes in our platform, pricing, providers, legal requirements or business operations. The updated version will be posted on this page with a revised “Last updated” date. Continued use of MinistryCount after changes means you accept the updated Terms.
