1. Overview
MinistryCount is offered as a subscription-based church management service. Churches may choose a monthly, yearly or custom plan depending on the package, features and limits available at the time of signup.
Subscription fees support hosting, platform maintenance, support, security improvements, backups, development and service availability.
2. Subscription plans
Each plan may include different limits such as maximum members, assemblies, users, reports, exports, announcements, SMS-related features and custom branding.
Plan details may be shown during signup, on the church billing page, in invoices or in official communication from MinistryCount.
3. Billing cycle and due dates
Churches may be billed monthly, yearly or on another agreed cycle. The next due date may be displayed inside the church billing page or communicated through invoices, WhatsApp, email or other official support channels.
Churches are responsible for renewing their plan before or on the due date to avoid service interruption.
4. SMS credits
SMS credits are separate from the main subscription unless a plan or promotion clearly states otherwise. SMS credits may be purchased through the approved SMS platform or another approved MinistryCount channel.
SMS credits are deducted based on the number of recipients and message units/segments. A long SMS or Unicode message may consume more than one unit per recipient.
5. Failed payment and suspension
If a payment is overdue, MinistryCount may send reminders and may limit, suspend or disable access until payment is resolved. Suspension may affect dashboards, member access, SMS sending, exports or other features.
Suspension does not automatically delete church data. Data handling after cancellation or long-term non-payment is explained in the Data Retention & Backup Policy.
6. Plan upgrades and downgrades
A church may request a plan upgrade when it needs higher limits or more features. Upgrade fees may be prorated or charged according to the active pricing arrangement.
Downgrades may be restricted if the church’s usage is above the lower plan limits. Some features may become unavailable after downgrade.
7. Refunds
Subscription fees are generally used to maintain active service access and are not automatically refundable after a billing period has started. However, MinistryCount may review refund requests case by case.
- Refunds may be considered for duplicate payments, mistaken overpayment or a service activation issue caused by MinistryCount.
- Refunds are not normally issued for unused time, unused SMS credits, user error, policy violations or cancellation after active use.
- Any bank, mobile money or payment processing charges may be deducted from approved refunds where applicable.
8. Cancellation
A church may request cancellation through the official support channel. Before cancellation, the church should export any records it needs, subject to its data protection responsibilities.
After cancellation, access may be disabled and data may later be deleted, archived or retained according to the retention policy and any legal or operational requirements.
